Scan-to-email setup for Microsoft 365 on common copiers
Every device has the same few SMTP fields. Enter these, using the username and password SMTPKeep generated for the device:
| SMTP server | smtp.smtpkeep.com |
| Port | 587 |
| Security | STARTTLS (may be labelled TLS, "Use SSL/TLS: STARTTLS" or "Secure connection") |
| Authentication | SMTP AUTH on, username and password from the SMTPKeep dashboard |
| From / device email address | The mailbox you chose for the device, for example scanner@yourdomain.com |
| Older devices | If the device only supports TLS 1.0 or 1.1, use port 2525 instead |
Where the settings are

Test it
- In the SMTPKeep dashboard, click Send test next to the device to confirm the mailbox can send.
- Scan a page to your own address from the device.
- Check the device's row in SMTPKeep's activity list. A failure there includes Microsoft's reason.
Troubleshooting
- "Authentication failed" on the device: retype the password. Generated passwords avoid look-alike characters, but some keypads hide case.
- "Cannot connect" or a TLS error: the device may only support old TLS versions. Use port 2525.
- Mail arrives "on behalf of" or with a different From: SMTPKeep sends as the device's mailbox. Keep "Rewrite the From address" on unless the device is set to that address already.
